Answers
Why do new companies wait for my approval?
As in Shopify B2B, a new business can't order, or be sent orders, until you've checked it. Applications, companies you add and leads you convert wait under Companies, To approve and on Home. Press Approve, confirm the Payment terms and who may order, or press Reject.
Can I approve a lot of companies at once?
Yes. On Companies, To approve, press Approve several, tick the ones you want and choose one set of Payment terms. Up to twenty go through in a run, which is usually what you want straight after an import.
Those terms replace whatever each company has, including terms that came from Shopify, so a company that agreed to something different is better approved on its own page. A company with nobody to give permission to is listed and left alone: add a contact there first.
Does the customer get an email when I approve them?
Not from VerifiedHive. The app never emails your customers, on approval or at any other time.
Shopify will, but only if you set it up first. Its free Flow app has a ready-made workflow called Send B2B access email to approved customer, which sends the invitation to sign in and start ordering the moment somebody is given permission to order. Approving here is what gives that permission, so once that workflow is on, the email goes out on every approval, including the ones you do several at a time.
So: switch the workflow on and approving emails them on its own. Leave it off and approving tells them nothing, and you send them the news yourself. To find out which you are, open Flow and look for the workflow in your list: it has to say Enabled. The app cannot check for you, because Shopify does not let an app read another app's workflows.
The wording of the email, and the switch that turns it off, both live in that workflow.
Approving a company says Shopify didn't let VerifiedHive set it up.
Companies and their orders are set up in Shopify B2B, which most Shopify plans include but not Starter or Retail. If your plan has B2B, open VerifiedHive from your Shopify admin and approve the updated permissions if Shopify asks, then approve the company again. If it still fails, email us the company's number, like C-000012.
How do I bring in the companies I already have in Shopify?
Press Import companies and orders from Shopify on the Companies page and keep the page open while it runs. Companies, their locations and contacts come first, then their orders. You do it once: after that, new Shopify companies and B2B orders arrive by themselves.
Are companies kept in step with Shopify?
Yes, both ways. What you change here is saved to Shopify, and changes made in Shopify come back. Catalogs are set up in Shopify and used here. If a page says Not up to date in Shopify, press Try again.
How does a buyer sign in on my store to order?
Give them permission to order for a location: on the company, under Contacts, press Manage permissions and choose Ordering only or Location admin. Then send them Shopify's B2B access email from the customer in your Shopify admin.
Where do I set a location's payment terms, tax or shipping account?
Open the location from the company page (Locations, Open). Each card has Edit: Details, Addresses, Payment terms, Checkout, Tax and the buyer's own Shipping account. New orders for the location start with its payment terms and its usual shipping.
The same business is here twice.
The app won't make a second business account for a name it already has, however it arrives: Acme, Inc. and ACME count as the same business, and you are told which account already exists.
Shopify can still make one, because a company created there arrives as its own company and nothing can tell a subsidiary from a mistake. When that happens, Companies shows a Look-alikes tab. Open it to see both side by side with their orders, people and locations, then press Keep this one on the account the business really trades under, and the others are archived.
An account with orders is never archived this way. Open it first and decide what happens to its orders.
Ask the guide
A question in your own words, answered from these pages and nothing else, and you can keep asking. It has no access to any store, so ask it how something works rather than about one order of yours.
